This policy explains the booking, payment, cancellation, rescheduling, refund, and no-show conditions for Gantavya Retreat Dandeli.

Booking and Advance Payment

An advance payment may be required to reserve rooms, cottages, dormitories, packages, or activities.

The remaining balance must be paid within the timeline communicated by our booking team.

A booking remains subject to availability until the advance payment is received and confirmation is issued.

Cancellation Requests

Cancellation requests must be submitted by phone, email, or through the same communication method used during booking.

A cancellation will be considered accepted only after confirmation from our team.

Cancellation Charges

Cancellation charges may depend on:

The number of days remaining before arrival
Room and package type
Weekend or weekday booking
Peak season or festival dates
Group booking conditions
Third-party activity reservations

The applicable cancellation charge and refundable amount will be communicated during booking confirmation.

Rescheduling

Booking dates may be rescheduled subject to availability and prior approval.

Seasonal price differences, room upgrades, or rescheduling charges may apply. A rescheduled booking may not be eligible for additional changes or refunds.

No-Show Policy

Guests who fail to arrive on the confirmed date without prior communication will be treated as a no-show.

Advance payments or booking amounts may be non-refundable in such cases.

Early Departure

No refund will be provided for unused accommodation, meals, activities, or services when guests leave before the confirmed departure date.

Weather and Activity Cancellations

Adventure activities may be postponed, changed, or cancelled because of rain, unsafe water levels, government instructions, equipment issues, or operator decisions.

Alternative activities may be offered where possible, but availability is not guaranteed.

Refund Processing

Approved refunds will be processed through the original payment method where possible.

Payment gateway charges, bank charges, activity operator fees, or administrative deductions may apply. Refund processing time may vary depending on the payment provider.

Resort-Initiated Cancellation

In rare situations, Gantavya Retreat Dandeli may cancel or modify a booking because of emergencies, maintenance, natural disasters, safety concerns, government restrictions, or unavoidable operational issues.

Guests may be offered an alternative date, alternative accommodation, credit adjustment, or applicable refund.
